Student Employment Information Student Employment Mission Statement St. Norbert College fosters a teaching/learning environment that nurtures student career development. The College provides employment opportunities where students learn to identify and transfer skills, develop and achieve goals and experience Catholic/Norbertine values in a work setting. Recognizing that the primary objective of students is to learn, they are encouraged through employment to develop skills in time and financial management, setting priorities and interpersonal communication. To achieve this, the Student Employment Office (Financial Aid Office) supports and partners with on-campus employers and students, as together, they develop positive and productive working relationships. Types of Student Employment Federal College Work-Study is a federal financial aid program designed to provide part-time employment to eligible students. St. Norbert College receives an allocation from the federal government each fiscal year that is used in combination with St. Norbert College funds to provide part-time jobs for students. To be considered for federal work study a student must file the Free Application For Federal Student Aid (FAFSA). SNC Regular Employment is for students who are not eligible for federal work study dollars but would still like to work on-campus. Note: Most on-campus employers can hire students who have either Federal College Work Study or SNC Regular Employment as part of their Financial Aid Award. There are certain positions on-campus that are designated by the federal government only for students who are eligible for federal work study. The Financial Aid Office monitors a student's employment status and will notify the student (and supervisor) if the student is ineligible for federal work study. Student Employment Policies
Applying for On-campus Student Employment On-campus student employment openings can be viewed at www.snc.edu/financialaid/jobs.html. Select the position you are interested in and follow the “How to Apply” instructions listed. Required Forms for Student Employment Students who have not worked previously for St. Norbert College must complete the following employment verification forms and return them to the Financial Aid Office. All students must complete the required paperwork prior to working on campus. International Students complete employment verification forms directly with the Payroll Office.
Student Work Hours Full-time students are restricted to working no more than 20 hours per week when classes are in session. Students are allowed to work more than one job on-campus provided the total (combined) number of hours per week for all of the jobs worked do not exceed 20 hours per week. A student may work up to 40 hours per week when classes are not in session. Students are not eligible to work over-time hours. LUNCH/BREAKS - Students may have a 15-minute break during each four consecutive hour work segments and one unpaid half-hour break during each workday of eight hours or more. Such breaks will be taken at times approved in advance by a supervisor. Students cannot be compensated for breaks not taken. SICK DAYS - If students are ill, they should contact their supervisor as soon as they know that they will not be able to report to work as scheduled. Sick days are unpaid. HOLIDAYS - If a student is unable to work their regularly scheduled hours during a break period or holiday, they are to inform their supervisor as soon as they know. Vacation and holidays are unpaid. Timesheets Upon completion of the required student employment forms, your supervisor will notify the Financial Aid Office via a Student Labor Form that they have hired you to work for them. The Financial Aid Office will enter the information into the student employment payroll system and a timesheet will be issued in the student’s name. Since timesheets are printed every two weeks there may be one or two payroll cycles that pass before a new student receives a timesheet. In this instance please get a blank timesheet from the Payroll Office (JMS 202) and complete it using the required information. Payday A list of payroll cycles for the current academic year is available in the Payroll Office. Students will receive an e-mail confirmation from payroll of their direct deposit amount. If a student is employed in more than one position, their bi-weekly pay will reflect the total wages from all sources for the appropriate pay period.
Student Injuries at Work Time spent by an employee waiting for and receiving medical attention at the direction of the employer during the employees normal working hours on days when the employee is working would be considered work time. Any student injured while on the job should contact Human Resources, (920) 403-3982 for further instructions. Rights and Responsibilities A student employee should consider on-campus employment a serious commitment. When hired for a position, the student becomes a member of a work unit that depends on him/her. Therefore, the supervisor may reasonably expect the student to do the following:
Corrective Discipline and Termination Employers are encouraged to give positive feedback to students when warranted. However, there may be times during the academic year when a student employee is not performing up to the expectations of the supervisor; this may relate to attendance, punctuality, job performance or attitude. At these times, it may be necessary to inform the student of any dissatisfaction with their performance. The first step in this process should be for the supervisor to verbally notify the student of the inappropriate behavior. Hopefully, this will be sufficient to correct most problems. If the situation continues, the problem should be defined in writing sent to the student with a copy being sent to the student's employment file located in the Financial Aid Office. Suggestions for improvement should also be detailed in writing, including an expected date of improvement. If, however, the problem continues to be unresolved, it may be necessary to terminate the student employee. If this is necessary, the supervisor would notify the student in writing with a copy to be sent to the Financial Aid Office for the student's file. A student employee may be terminated without prior warning for a serious violation of the demands of the position. Serious violations include but are not limited to:
Any student who is terminated cannot hold another position on-campus for 60 days after the effective date of termination. Policies

Any student employee who engages in harassment will be subject to disciplinary actions and/or discharge. Any student employee who believes that he/she has been subjected to harassment has a right to file a complaint with his/her supervisor, the Student Employment Coordinator or the Human Resources Department, who will promptly and confidentially investigate the incident.
Such behavior is inconsistent with the College's desire to create the best possible living, learning and working environment and is therefore absolutely prohibited for all students and employees. Student employees who believe they have been sexually harassed should contact their supervisor, the Student Employment Coordinator or the Human Resources Department, in confidence for what procedures to follow in the reporting of such an offense. Commonly Asked Questions Am I guaranteed a job since it was part of my Financial Aid Award? Although there is no guarantee that a job of your preference will be open, typically there are open job positions throughout the year. Employers have to let me study right? Sorry, this is not the case. The term "Work Study" describes the nature of the program. Students have an opportunity to work so that they may continue their studies at St. Norbert College. Most on-campus employers need the students to work during their shifts. What happens if I don't use all of the work study or regular employment listed on my Financial Aid Award? The amount listed on the Financial Aid Award for Work Study or Regular Employment is just an average of what a student can earn during an academic year. However, a student is only paid for the hours he/she actually works. How will I get paid? You will be paid every two weeks based on the number of hours you worked during a pay period multiplied by your hourly wage. St. Norbert College offers direct deposit to the bank of your choice or to your SNC student account. How much can I work? The dollar amount listed for Work Study or Regular Employment on your Financial Aid Award is based on the following formula. The actual dollar amount received will be determined by the number of hours worked per week and the number of weeks worked during the academic year. EXAMPLE: Lets say your award amount is $1600. You would d ivide this by 32 weeks of classes. You would earn $50 per week if your h ourly wage is $6.50. Which would then equate to you working approximately 8 hours per week. What do I do if I want to quit my job? We encourage students to give a two week notice to their employer. You are always welcome to look for another position on campus. However, a student can not begin working a new job until their two week period has expired unless permission is granted from their current employer. Student Employment Contacts The Financial Aid Office (JMS 221; x3071) and the Payroll Department (JMS 202; x3434) administers student employment. The Financial Aid Office works with job listings, student job placement, student employment policies and procedures, I-9 Form compliance, withholding and reciprocity forms.
