Organization Officer Duties
 



Duties of an Organization President
  • Plan, delegate, and evaluate, set goals and create ideas, tone, and direction
  • Facilitate process of completing and submitting organization renewal information to LSI
  • Serve as officer, or delegate, who is primarily responsible for picking up mail in SORR, communication on orgaccess list serve, and communication with LSI organization liaison.
  • Set and be aware of deadlines
  • Communicate ideas and information and appoint committees and task forces
  • Meet regularly with Advisor and keep him/her appraised of activities of organization
  • Motivate and recognize the achievement of officers and members
  • Attend all ACCESS meetings, or send appropriate representative
  • Understand, educate membership and ensure that organization adheres to campus and organizational regulations
  • Facilitate all meetings of the organization and serve as official representative
  • Provide a smooth transition
  • Mediate conflict within organization
  • Facilitate the completion of the organizational annual report
HINT: Draw up an agenda for each meeting, inform the members prior to the meeting, and follow the written agenda. Meet with the executive board and advisor regularly to keep everyone appraised of organization business

Duties of an Organization Vice President
  • Be an ex-official member of all committees
  • Manage the committees
  • Perform the duties of the president in his/her absence
  • Oversee committee chairperson
  • Serve in partnership with the President, as a leadership team
  • A “catch all” position, has great potential to facilitate annual goals for the organization
  • Can serve as parliamentarian
HINT: To create a functional leadership team, open and frequent communication with the president is necessary. Some organizations have VP serve in a leadership “co-chair” role.

Duties of an Organization Treasurer
  • Collect member dues
  • Prepare and adhere to an approved budget
  • Maintain accurate records
  • Transact business through a bank or college Business Office
  • Keep executive board informed of financial strengths and weaknesses of the organization
  • Have the books audited or reconciled
  • Work with fundraising committee to set annual fundraising goals and coordinate fundraising activities
  • Work with organization to apply and submit Student Activity Fee application annually (optional)
HINT: Keep budget information current and receipts available to members upon request. Your duties include assisting organization officers in their activities on a sound business basis and ensuring the consistent accounting of records. Karen Filppula in LSI is a good resource for assistance.

Duties of an Organization Secretary
  • Record accurate minutes of all meetings
  • Keep the organization’s permanent records/archives
  • Update all roster information (i.e. addresses, phone numbers, birthdays, etc.)
  • Be an official  club correspondent
  • Order organization supplies
  • Publish organization bulletin
  • Maintain official membership record
  • Complete club directory
  • Attend all meetings
  • Attend as many organization functions as possible
  • Create or maintain organization web site (optional and only if organization does not have a webmaster)
HINT: Read the minutes at the beginning of each meeting. Post or email to membership to assure that membership knows which items were completed at the last meeting, which items must be covered at the next meeting, and other miscellaneous tasks or agenda items.

Duties of an Organization Social Chairperson
  • Oversee the planning of all organizational social events
  • Assume the responsibility and liability if alcohol is served at organization events (i.e. education of membership, waivers, meeting with advisor prior to event, etc.)
  • Obtain any contracts required for organization social events
  • Be aware of any legal implications of planning a social event
  • Read, understand and educate membership on SNC risk management program
  • Delegate tasks related to planning social events
HINT: Be sure that membership is aware of organization expectations prior to event. Be sure that all guests invited are on a “guest list” and those members understand their responsibility for their guest’s behavior and the consequences associated. If using a rental facility, be sure to walk through with owner prior to event and identify damaged areas.

Duties of an Organization Service Chairperson
  • Oversee the planning of all organization philanthropic and service events
  • Assume the responsibility and liability of membership understanding and risk involved in activity, if appropriate.
  • Assist organization in setting goals and determining projects for annual service activities
  • Be aware of any legal implications of said event
  • Share information with Associate Director of Leadership and Service, Nancy Mathias, prior to and/or following event (i.e. number of participants, project/sponsors, etc.)
  • Read, understand and educate membership on SNC risk management program
  • Provide information for service report in Annual Report
  • Delegate tasks related to planning service event
HINT: Work with Nancy Mathias and LSI in selecting service projects for the coming year. If not already determined, assist organization in committing to a particular cause or service agency annually as a part of your service activities. Work with fundraising chair to determine potential philanthropic activities.


Note: All officer roles are expected to perform any additional duties as deemed necessary by members of the Executive Board or general consensus from the organization membership.
