“The college supports the right of individuals to organize and participate in student organizations whose purpose is in line with the mission of St. Norbert College. These organizations will be eligible for recognition…” -- SNC Student Life Committee
Organizations seeking recognition must have:
- At least five (5) active SNC student members
- A full time SNC Faculty/Staff advisor(s)
- Executive Report
- Membership list
- Purpose statement, including mission and goals
- Constitution
- Any organization with a national affiliation must submit a letter from its national organization stating that the organization has permission to use the national name and attach national constitution if available.
- All Greek letter organizations seeking recognition must be first introduced to SGA Student Organization Affairs Committee by the Panhellenic or Interfraternity Council.
Organizations with recognition enjoy the following benefits:
- Use of St. Norbert College name and logo
- Access to Student Organization Resource Room supplies, materials, mailbox, etc.
- Participation in Involvement Fair
- Reservation of space in the Campus Center for meetings and events
- Opportunity to apply for and receive Student Activity Fee funding
- Access to LSI Graphic Designer
- Official SNC web site
- Reservation of SNC vehicle fleet and/or Enterprise Rental contract with the college
- Financial resources: purchase orders, tax exemption, snc account, consulting assistance
- Registration of off campus events, resulting in support with disputes of off campus vendors
- Liability coverage by St. Norbert College insurance policies
The process of obtaining recognition is as follows:
- Recognition packet paperwork is obtained from Department of Leadership, Service & Involvement--LSI--(Recognition Packet includes: instructions for starting a student organization and recognition process, executive report, sample constitution
- Paperwork is turned into LSI and reviewed. A meeting is scheduled with the contact person seeking recognition and the appropriate LSI staff member for further information and clarification of the recognition process.
- Once aforementioned meeting takes place, LSI forwards copy of the paperwork to Student Government Association Vice President for review and introduction to Student Organization Affairs committee.
- Organization seeking recognition is contacted by SGA Vice President to schedule hearing with Student Organization Affairs committee (two dates offered each semester to conduct hearings for organizations requesting recognition). Organization advisor(s) must be present during hearing.
- Greek letter organizations must be introduced by Panhellenic or Interfraternity Council. Introduction should include the benefits and challenges that proposed Greek letter organization offer to SNC and Greek communities.
- Recommendation of Student Organization Affairs committee (to grant or reject recognition) is forwarded to Student Life Committee through Vice President of Student Life.
- Vice President of Student Life and Vice President of SGA facilitate discussion with Student Life Committee regarding recommendation forwarded by Student Organization Affairs Committee.
- Vice President of Student Life sends letter to inform organization of decision.
- If organization is approved for recognition it will receive a recognition packet that includes a certificate of recognition and a copy of the Campus Center Reservation and Policy Contract to be signed and returned to LSI. In addition, once recognized, the organization and contact information will be placed on the Student Organization web site.
Organizations are only required to go through the recognition process once, but are required to renew their recognition each fall. Renewal paperwork (including Executive Report, Membership List, Adviser signature(s), Campus Center Reservation and Policy contract, and updated constitution when applicable) is due to the LSI by October 1 to remain in good standing. Organizations that fail to get their renewal in go through the following:
- October 2 – Notice sent to organizations that have not filed for renewal
- October 15 – Organizations that have not responded to the written notice will be dissolved. A letter will be sent to organization president, advisor and organization benefit providers (i.e. Campus Center reservationist, business office, copy center, mail center, bank) alerting them of their dissolved status and the suspension of their benefits.
- The Student Organization Affairs committee will set one date per semester (early November and late April) for probation hearings. Organizations that do not resolve their probationary status will be dissolved and unable to request recognition for one full calendar year.
- Organizations that are dissolved will need to reapply for recognition and start the process from the beginning. The Student Organization Affairs committee will take probation history and dissolution status into account when reviewing requests for re-recognition.
- All organizations are required to submit an Annual Report by March 14. This form will be reviewed by the Department of Leadership, Service & Involvement and placed in organization file.
Organizations that do not submit an Annual Report by March 14 are sent a notice. Organizations that do not contact their liaison and complete their report by April 10 will be dissolved and unable to request recognition for one full calendar year.
Additional requirements include:
- Executive board members (President, Vice President, Secretary and Treasurer – or like positions) must maintain a 2.25 GPA requirement. Executive Officer GPA checks will take place every fall following the completion of the Executive Report. Executive board members who do not meet the 2.25 requirement will receive a letter from LSI asking them to step down from their position. A copy will be sent to the organization president and advisor.
- Social/Service organizations are required to participate in two service project requirements and two educational programs per semester.
- All recognized Greek letter organizations must have a representative assigned to attend their respective Panhellenic (sororities) or Interfraternity (fraternities) Council.
- All recognized independent social organizations must have a representative assigned to attend Independent Council.
